Procurement Officer Full Time

Position Overview:
The Procurement Officer is responsible for managing and overseeing the procurement of goods and services
necessary for the organization’s operations. This role ensures that all purchasing activities are conducted
efficiently, cost-effectively, and in compliance with legal and organizational standards. The Procurement
The officer will work closely with internal stakeholders to assess needs, source suppliers, negotiate contracts, and
maintain relationships with vendors.

• Key Responsibilities:
  Procurement Management:
• Identify and assess the organization’s needs for goods, services, and materials.
• Research, evaluate, and select suppliers/vendors that meet quality, cost, and delivery
  requirements.
• Issue purchase orders and ensure timely delivery of products/services in alignment with budget and business needs.

Supplier Relationships:

• Develop and maintain strong relationships with suppliers and vendors.
• Monitor supplier performance, address issues, and negotiate favourable terms and
  contracts.
• Conduct periodic supplier evaluations and audits.

Contract Negotiation & Management:

• Negotiate terms, conditions, and prices with suppliers, ensuring the organisation gets the best value.
• Draft, review, and manage contracts, ensuring compliance with organizational standards and legal requirements.
• Monitor contract performance and renewals, addressing any deviations or issues.

Inventory Control & Stock Management:

• Ensure effective inventory management to avoid stockouts or overstocking.
• Collaborate with the warehouse and logistics teams to monitor inventory levels and turnover rates.
• Coordinate the movement of goods from suppliers to internal departments.

Cost Control & Budgeting:

• Monitor procurement budgets, ensuring adherence to cost-saving initiatives and identifying areas for cost reduction.
• Provide reports on procurement activities, including cost analysis, savings, and forecasts.
• Ensure compliance with financial policies and procedures related to procurement.

Compliance & Documentation:

• Ensure procurement activities comply with legal, regulatory, and organizational standards.
• Maintain accurate records of purchase orders, contracts, vendor agreements, and other procurement documents.
• Assist with audits and prepare procurement reports as required.

Market Research & Trends:

• Keep up to date with industry trends, new products, and emerging suppliers.
• Recommend improvements to procurement processes, tools, and strategies to increase efficiency and effectiveness.

Qualifications:
Education:

• Bachelor’s degree in business administration, Supply Chain Management, Finance, or related field.
• Certification in Procurement, Supply Chain, or Purchasing (e.g., CIPS, CPSM) is a plus.

Experience:

• Proven experience as a Procurement Officer, Purchasing Assistant, or similar role.
• Strong understanding of procurement and supply chain management processes.
• Experience in negotiating contracts and managing supplier relationships.
